Operations Program SpecialistToshiba America Business Solutions, a leader in digital technology, is seeking an Operations Program Specialist working in at the headquarters located in Lake Forest, CA.As a part of Toshiba America Business Solutions, Inc. you'll be an integral partner to the success of our customers. More than just copiers, Toshiba is an industry leader in digital displays, document security and software solutions that keep businesses running brilliantly and efficiently.Summary:Provide customer and interdepartmental support for MPS, Solutions and supplier shipping programs related to order management and order fulfillment. Key responsibilities include, but are not limited to, issue resolution, returns, and pricing adjustments. Support solutions orders fulfilled by third party partners, customer support for dealers that utilize the eAutomate PO Processor program for MPS supplies, and customers utilizing the ATR order process. Coordinate product returns to suppliers, ensuring proper credits are received and reconcile with the correct invoice. Enforce policies to minimize revenue loss through excessive returns.Responsibilities:

  • Create or request returns in Vendor systems or contact vendor directly for return approval in support of Support third-party drop ship processes.
  • Ensure return orders are created in Oracle. Champion the PO close process or return to vendor process, depending on the situation and receive the Oracle RA when vendor credit is received.
  • Coordinate reverse logistics with dealers and clients, such as creating return shipping labels and ensuring product is returned to vendor within specified deadline.
  • Identify process challenges and make recommendations to management for correction or improvement.
  • Train less senior staff as required.
  • Monitor incoming ATR and other orders interfaced from other sources, such as e-Automate PO Processor.
  • Assist dealers and customers with correct program use and understanding.
  • Perform order corrections as necessary, provide details to the Account Specialist or Regional Account Specialist for specified dealer process management when necessary, and escalate issues to management as needed.
  • Assist Accounts Payable with invoice and credit reconciliation for products returned to vendors, credits or other pricing adjustments received from vendors, to ensure that dealers and customers receive accurate credit or billing as necessary.
  • Other duties as assigned.Qualifications:
    • AA Degree or equivalent combination of education/experience acceptable.
    • Minimum of five years of experience in a combination of the following areas: Managed Print Services, supporting Solutions products and services, customer service/support, and order processing.
    • Demonstrated thorough understanding of system processes and order integration with eAutomate, ATR, or other external sources that support order management and procurement within all sales channels.
    • Demonstrated success working in a fast paced/customer facing environment.
    • Must have essential math skills with basic knowledge of accounts payable practices.
    • Ability to resolve complex problems and make sound interpretations and decisions.
    • Coordinate and administer multi-faceted processes.
    • Strong customer support with excellent verbal and written communication skills.
    • Must be comfortable working with computers and interfacing with clients and team members.
